I have an entire range of rates that I adjust to fit the individual characteristics and requirements of each document and/or client. If you would like a free estimate for your document, please tell me about it via my estimate form.

Please note: Because U.S. English is my native tongue, I translate exclusively into English. I do NOT provide translation services from English into Spanish, English into French, or English into Portuguese.

BUSINESS POLICIES

CONTRACTING: ALL jobs require that a small sample be submitted via direct email or via fax before work is begun.

Each job shall be issued with a purchase order and/or a letter of agreement and/or a contract, depending on its size and nature, in order to guarantee the work and protect the client and the translator.

Typically, most jobs need a purchase order only, which will include, at minimum, the translator’s and client’s names and contact information, a description of the document(s) to be translated, actual or estimated word count in the original language, desired delivery method, deadline, rate, discounts (if applicable), and agreed payment terms (immediately upon receipt of the translation, 30 net, 45 net, etc.). Purchase orders are issued by the client.

However, some large jobs exceeding 5,000 words (20 pages) will require the client and translator to sign a letter of agreement and/or contract in addition to the PO in order to protect both the client and the translator. The letter of agreement or contract shall include the following information, at minimum: the translator’s and client’s names and contact information, a description of the document(s) to be translated, actual or estimated word count in the original language, desired format, desired delivery method, deadline, rate, discounts (if applicable), complete and detailed payment terms and conditions as agreed between the client and translator, and expected date of payment.

For very large projects requiring a longer-term commitment for both the translator and the client, it may be necessary for the client to pay an initial good-faith deposit as well as an installment on each batch of work as the project progresses. A retainer agreement may also be necessary, depending on the nature of the work to be done.

BILLING: For translations, billing shall be based on actual word count in the target language (English) unless agreed otherwise. For writing and other services, billing is usually based on an hourly rate or flat fee.

The total balance shall be due in full upon receipt of the finished document(s) unless agreed otherwise. An invoice is sent to the client immediately after each project is completed. Any past due balance shall incur a late charge of 15 percent per month until the balance is paid in full.

The client may not apply a discount or delay or withhold payment in the event I do not submit the translated job by the deadline and such a delay on my part was proven to be generated by an act of God or force majeure totally preventing me from delivering my work by the deadline. I take all precautions necessary and feasible to avoid any loss of communications capability as well as any loss of work done. Such precautionary measures include but are not limited to: running all desktop and laptop computers on an uninterrupted power source (UPS); saving my work every 15 minutes or more frequently; backing up my work on external hard drives and CDs; using online sharing services such as DropBox; and using wireless and remote-access technologies such as remote login services and iPhone/iPad.

The client may not apply a discount or delay or withhold payment in the event I submit what the client claims to be substandard or inaccurate work and it can be proven, through verification of the work’s quality and accuracy, that the client has made such a claim in order to avoid paying for the work.

PAYMENT: Payments in all cases must be made out to Maloof Language Services, Inc., and shall be in United States dollars unless an alternate arrangement is agreed upon between the client and the translator. Cashier’s/certified checks, money orders, bank drafts, and money transfers through Western Union are all accepted. Credit card payments are accepted through PayPal (see below). Cash and personal checks are also accepted if the client is located in the metro Atlanta area. Bank drafts require a minimum of USD$150.00. If the amount due is under USD$150.00, a USD$12.50 fee shall be added to the total amount due in order to cover the bank charge for receiving the draft.

PayPal is a secure online payment system that you can use to send payments by charging them to your credit card (MasterCard/Visa/Amex/Discover), debit card, or directly to your bank account. It is much faster, safer and easier than mailing a check, and less expensive and bothersome than wire transfers or bank drafts. You do not have to be registered with PayPal to send a credit card or debit card payment via PayPal’s secure server system. PayPal has received positive reviews from Forbes, The Wall Street Journal, CNet, and Time. It is a very popular payment method all over the United States and all over the world. PayPal supports 18 currencies, and accounts are available in more than 190 countries and regions worldwide. CONFIDENTIALITY: All work performed for all clients is automatically assumed to be confidential and will always be treated as such, with no exceptions whatsoever. None of my translations or any sensitive data contained therein are ever revealed or divulged to third parties, either in full or in part, without the client’s express permission. I do keep a copy of every translation job I complete for my personal reference, but in “scrubbed” form where all names and sensitive data are blacked out, deleted or anonymized. All electronic copies of original documents are deleted from my hard drive, while all paper copies of original documents are shredded by a certified, well-known, secure professional document destruction service. My chosen service provider is Recall, Inc.
